Vicksly Foundation is a non-profit making, non-political and non-religious organization registered with Nigeria Corporate Affairs Commission in June, 2018, to respond to current humanitarian crisis in Northeast Nigeria. Vicksly Foundation will sustain, strengthen and promote peace building, carry out Food security and Livelihood programs, undertake WASH program, create education enlightenment program, sexual and reproductive health programs and gender equality program in Nigeria and Northeast.
We are recruiting to fill the position below:
Job Title: Monitoring and Evaluation Intern
Location: Maiduguri, Borno
Reporting: Direct report to the Monitoring and Evaluation Manager
Duration: Six months preferred but may be extended
Summary of Duties
- To support the monitoring & evaluation system of V-Foundation with a particular focus on the use of scientifically sound methods of impact evaluation.
- He/She will work under the guidance of the M&E Manager to implement the Monitoring and Evaluation (M&E) framework for the organization’s projects and contribute to the design and implementation of related core M&E research and development activities.
- He/She will develop approaches and tools based on clear impact pathways, theories of change, outcomes, and indicators of progress.
- He/She will work to ensure that proper monitoring and evaluation is carried out at outcome level and for ensuring that projects at V-Foundation maintain their strategic vision and that all activities result in the achievement of intended outputs in a cost effective and timely manner.
- In addition, the M&E Intern will support the M & E manager to build the capacity of project staff in monitoring and evaluation and specifically on how to demonstrate impact.
- He/She will assist Project Managers in preparing quarterly/annual reports on project progress and will monitor the overall progress of V-Foundation projects in achieving outcomes.
Specific Duties & Responsibilities
Operationalize the M&E framework designed for V-Foundation I include and not limited to:
- Designing M&E tools for data collection, verification, and management and reporting as well as data audits;
- Contribute to the development, design and planning of projects so that
- Projects have a clear and feasible strategy towards impact that is in line with V-Foundation’s mission and strategy, and
- Projects include clearly defined measurable indicators of outputs, outcomes and impact
- Follow up on monitoring and evaluation exercises for various initiatives for the agency;
- Conduct capacity assessments on existing monitoring and evaluation system;
- Lead the design and implementation of ex-post and ex-ante evaluations of the organization’s technologies and interventions using robust methods of impact evaluation
- Monitor and evaluate overall progress on achievement of results as well as the sustainability of the project results and report periodically to management team
- Participate in multidisciplinary teams to develop, implement and evaluate strategic management plans to improve V-Foundation programming effectiveness.
Minimum Qualifications & Experience
- Degree in Economics, Business Administration, Statistics or any other related field;
- Expertise in analyzing data using statistical software; and
- Proficiency in the use of computer.
Key Skills & Competencies:
- Proven ICT skills, especially in the development of MIS software using database software;
- Training & facilitation skills;
- Ability to initiate and manage change and to recognize and adjust to rapidly changing conditions;
- Strong communication and presentation skills including ability to write reports;
- Proficiency in computer applications such as Microsoft Word, Excel, Access, PowerPoint and Outlook express including financial and statistical packages.

Job Tasks
Under the supervision of the Finance & Admin Manager, the Admin Officer will be responsible for the following main activities in accordance to national procedures:
- Finance and Accountancy
- Cash Management and Payroll Management
- General Administrations & HR
Tasks Description
Finance:
- Implements and explains V-Foundation financial rules as needed, including donor rules under guidance of the Finance & Admin Manager.
- Support the Finance & Admin Manager in the review of financial reports, evaluation grids by ensuring the donor and account code are completed
- Review all payments requests for completion before they are submitted to Coordinator for payment
- Participates in the yearly budget and revised budget construction with the Finance & Admin Manager.
Accountancy:
- Ensures the respect of accounting rule set as per V-Foundation standards;
- Preparation of payment related to the daily operation of the programs after double check of records, according to V-Foundation procurement procedures (Mission Request, Purchase order, contract, invoices & receipts, quotations etc. )
- Verify that all the receipts/invoices are correctly filled and they are eligible for V-Foundation accountancy (indicating: date, details of the supplier with amount clearly written and stamped PAID);
- Archive all the relevant administrative and accountancy documentation in the proper way indicated by the Administrator and according to V-Foundation procedures;
- Supervises the Finance Assistant to make sure to enter invoices & payments data regularly into accountancy software (saga) in accordance with V-Foundation standards and to the accountancy and budget framework.
- For bank payments send the complete documents to country office in due time.
- Reconciliation of cash and preparation of the monthly cash counts.
- Collaborate in the preparation of documents for financial/annual audits.
Cash Management:
- Lead on the Consolidation of the bi-monthly cash request for the Manager/Coordinator with input from different departments and submit it to Management.
- Responsible for the cash advance and for utilities and supplier’s payments. Proactively follow up on the same.
- Responsible for daily workers payments and ensure all documents are complete.
- Ensures the payment and justification of any per diem and transport for employees sent out on the field
- Works closely with the Logistics Department to ensure procurement checklists such as; the administration forms. Also ensure the proper validation circle is respected (quotations, evaluation and validation grid, purchase order, delivery note, etc);
Administrations:
- Organizes archiving and filing of all HR and administrative documents;
- Assists the Finance & Admin Manager when necessary
Team Management:
- Supervises Admin Assistant, and Cleaners
Others:
- Be flexible in performing his/her duties
- Inform immediately the security focal point in case of any security problem
- Perform other additional duties on request of Management.
- Independently identify areas of work within the department that require support, and carry out the same
Requirements
- Bachelor’s Degree in Business, Accounting or comparable Degree
- 2-3 years progressive experience in Finance role is a must
- Fluent in English and Hausa. Knowledge of Kanuri would be an added advantage
- Experience with NGO required.
- Experience with Saga will be an asset
- Experience working in a multi-organizational team (international and national partners) is a plus.
- Strong written and oral communication skills in English required, including report development, writing and editing.
- Excellent skills in excel and data analysis are required for this position, and will be tested at interview
- Demonstrated attention to detail, ability to follow procedures, meet deadlines and work independently and cooperatively with team members.

Summary of Role
- The Program will be mainly responsible for overseeing the implementation of a grant
- However, in a dynamic and small NGO it is expected that from time-to-time, the post holder will support other activities of Vicksly Foundation, as directed by the line-manager.
Reporting:
- This position reports directly to the Program Manager.
Objectives
- The Program Officer will build cordial and effective relationships with staff at the donor organization, ensuring deliverables are completed to high quality, on-time and within the terms of the grant agreement.
- The Program Officer will establish and maintain close working relationships with V-Foundation staff to collect and provide monitoring and evaluation and reporting on program activities. This work will be coordinated with the Program Manager.
- The post holder will ensure program impacts are shared internally, to the donor and externally, as directed by the line manager. In addition, emphasis will be placed on lessons learnt and the provision of thorough analysis on a quarterly basis.
- The Program Officer will monitor and ensure donor and internal rules, compliance procedures and local laws related to activities are adhered to always.
To supervise the implementation of plans of activities related to projects or programs undertaken by the Nigeria country office, which include, but not limited to:
- Prepare and support research and partner events
- Prepare and administer training sessions
- Support all associated social media output
- Collaboration with other CSOs/NGOs, as required.
- Develop work plan and schedules
- Develop ToR for facilitators, resources persons and consultants
- Ensure timely and high-quality information provided to donor
Duties and Responsibilities
- Working with the Program Manager, develop concept papers, prepare proposals and implementation of work plans (including log frames, activity schedules, monitoring and evaluation schedules) for submission to donors and management.
- Working with the program experts, producers and other program staff, prepare monthly, annual and end-of-project narrative reports and other reports as required.
- Compile/collate major donor narrative reports and ensure timelines/deadlines are adequately signaled and relevant activities are delivered in time and within the budget.
- Participate in assessments, team meetings, workshops, support trainings events, & support office visits.
- Work with monitoring team members to monitor programs’ progress using agreed program indicator tracking tables. Work with the Program Manager and program team to develop and implement indicator tracking tables/systems.
- Alert senior management of issues raised by monitoring if the goals and objectives are achieved and non-financial grant requirements are being adhered to.
- Provide program updates and information as required to senior management to assist with dissemination of information to key support staff, and major donors, as directed by the Program Manager.
- Work with the Program Manager, conceptualize program interventions.
- To provide a narrative of the results and planned activities monthly and to deliver reports as supervised by the Program Manager.
Specific Deliverables:
- Maintain the timeline of activities and reports for the donors and management.
- Deputize, if required for the Program Manager, for example if he/she is on leave. To support the key tasks managed by the Program Manager.
Qualifications and Experience
- B.A/B.S in relevant field required. MA/MS/MBA or equivalent preferred.
- 2-4 years of experience working in the development sector, or humanitarian program; general program management experience required.
- Proven knowledge preparing project reports and implementing complex, multi-faceted activities in Nigeria.
- Experience with conducting assessments, monitoring and evaluation and other learning efforts required.
- Experience working with multiple stakeholders to meet program/grant objectives.
- Strong interpersonal, intercultural and communication skills
- Creativity and strong organizational skills
- Excellent oral and written skills
- Ability to work well under pressure
- Proficient in the use of Microsoft Office Suite
- Ability to work independently and as part of a team
