We are recruiting to fill the position below:

Job Title: Base Logistician

Location: Yobe

Job Description

  • Ensure that KitLogV3.3 procedures are followed in regards to supply chain including procurement, receipt and documentation.
  • Ensure that base team understand and complies with the laid down procurement procedures in collaboration with the Logistics Manager.
  • Develop a monthly planning of purchase & ensure best available prices and quality of the items
  • Ensure quality control of deliveries from suppliers
  • Ensure that all storage, warehousing and stocks management activities run by the storekeeper (and under the supervision of Assistant Base Logistician, if applicable) meet all ACF standards and principle warehousing requirements (conditions, FIFO rule, identification, documentation)
  • Ensure that stock management files (stock cards, DN, SRO, other) and procurement files are kept and archived according to ACF standards
  • Ensure that monthly stock report is generated and physical stock samples inventory is done every month
  • Update the price catalogue with new purchase prices and/or suppliers or at least every two months
  • Follow-up and monitor installation, maintenance and repair of equipment
  • Ensure tracking of assets, update base equipment list with new equipment on a monthly basis and conduct physical check of equipment list each 3 months.
  • Ensure (with the support of the Assistant Base Logistician, if applicable) that ACF standard vehicle and generator fuelling, maintenance and repair processes are implemented and adhered with, logbooks are filled, consolidated and monitored on a monthly basis.
  • Ensure (with the support of the Assistant Base Logistician/ Lead Driver if applicable) that all drivers follow ACF standard procedures for weekly checks and vehicle documentation (Log book, movement log).
  • Follow up on all vehicle and equipment maintenance and repair needs reported by drivers or other staff members
  • Compile and consolidate records for vehicles & generators consumptions.
  • Manage and ensure the daily communication systems (phones / internet) run smoothly.
  • Ensure the standard ACF communication procedures are respected in the capital
  • Draw up daily, weekly and Monthly work plan with the capital logistics team, delegate the activities and check that they are executed properly
  • Ensure that all drivers are aware of ACF’s standard operating procedures, safety and security rules for movements
  • Making weekly cash forecast and manage cash advances for logistics department
  • Carry out performance appraisals for staff in his/her line management
  • Prepare driver schedules, holiday plans
  • Collect and analyze monthly reports for inventory, running costs of vehicles and generators, the narrative report of activities, equipment list, PFU, stocks report, CFU, IKD follow-up.
  • Compile and send a weekly stock report and PFU
  • Provide useful improvement for construction, rehabilitation and maintenance of structures for the operation of the base (programs, offices, house, warehouse…).
  • Manage operations under supervision of the Assistant Base Logistician, if applicable
  • Ensure proper security of office, warehouse, guest-house and equipment
  • This job description is not intended to be all inclusive and the employee will also perform other related tasks as required and responsible for reporting and communication of progress and achievement of the specific assigned task
  • The Base Logistician should be flexible and adaptable with regards to the implementation of the daily work/activities
  • The Base Logistician is expected to conduct all duties in a professional manner following ACF Nigeria mission staff regulations and charter

Requirements

  • Bachelors degree in Information Technology, Logistics, Supply Chain Management, or related field
  • Minimum of 4 years work experience required
  • Excellent attention to detail, highly organized, rigorous, self-motivated, strong sense of responsibility, ability to work independently
  • Expert User of Microsoft Office Suite 2013 (Word, Excel, PowerPoint, Outlook)
  • Ability to manage and follow work plans
  • Capacity for analysis, synthesis and reporting of large amounts of information
  • Strong verbal, written and communication skills
