Objective 1
- Represent AAH and the program within the community.
Tasks and Responsibilities:
- Apply AAH Kitlog storage procedures.
- Identify the items entering and leaving and check the quality, quantity and documentation.
- Report any problems with quality, quantity or documentation immediately.
- Provide support to Warehouse officer on update the SFU.
- Update any database upon request in the framework of storage management.
- Keep stocks forms bin cards, stock cards etc. up to date.
- Restrict entry into storage facilities and keep keys for the storage facilities
Objective 2
- Participate in monitoring of Stock Utilization.
Tasks and Responsibilities:
- Observe the minimum stock balances to anticipate any shortage in rolling stock and report it to the warehouse officer.
- Advice on the minimum stock balance according to consumption.
- Pay particular attention to use-by dates of food and medicine, ensuring proper stock rotation. Advise Logistics Assistant whenever expiry dates are approaching (within 2 months).
- Carry out monthly physical inventory of all items in stock and anytime upon request or convenience.
- Identify stock that is not being utilized and report to warehouse officer.
Objective 3
- Manage the storage conditions.
Tasks and Responsibilities:
- Check daily that the store is clean, organized and is regularly ventilated.
- Arrange stock in such a way that it’s easy to count and aisles are accessible Check daily and record the temperature and humidity of the store.
- Remove/ separate infected products and inform the Logistics Assistant.
- Separate foodstuffs from other stock and pay special attention to dangerous goods.
- Ensure storage facilities are free from rats, rodents and any other pests which may damage stock and periodically plan for fumigation of storage facilities.
- Plan for disposal of expired/ infected products in collaboration with the logistics officer and program teams.
Objective 4:
- Manage shipments and Cargo.
Tasks and Responsibilities
- Receive and issue out the various dispatch documents ie SROs, DN Waybills as per kitlog procedures.
- Ensure budget holders personally conduct a physical review any stock they have requested and sign the necessary documentation.
- Directly supervise the process of loading and unloading, including casual worker request, attendance sheets and ensuring timely payment is made.
Internal and External Relationship
Internal:
- Coordinate and maintain relationship with other departments and program teams.
- Close relation with Log officer and Logistics assistant.
External:
- Interact with suppliers, and casual service providers
Position Requirements
Qualifications:
- Minimum of a National Diploma in Management or related course of study with professional experience in stock management.
Skills and Experience
Essential:
- At least 1 year proven experience in stock management.
- Sound knowledge of general storage procedures.
- Knowledge of computer packages excel and word.
- Highly organized.
- Good communication skills in both written and oral English and excellent in Hausa or Kanuri language.
- Inhabitant of NE Nigeria region
Preferred:
- Archiving management.
- Traceable previous experience in similar role in an NGO set up

Summary
- The Project Manager is in charge of the proper implementation and completion of Project(s) throughout all its different phases as well as the appropriate management of its specific scope, schedule, resources, quality, risks, representation, coordination and contractual requirements.
Objective 1
- Ensure efficient, effective, quality and timely implementation of the entire project(s)
Tasks and Responsibilities:
- Management of the entire project(s) cycle;
- Finalize and manage the update and implementation of the detailed Project(s) Implementation Plan (PIP);
- Develop detailed monthly/weekly implementation plans for your staff in order to achieve the activities in the PIP;
- Finalize and manage the Project(s) Scope Documents (PSDs) such as Project Procurement plan, Monitoring and evaluation plan, Work Breakdown Structure, etc. as well as ensuring regular update of these documents in order to maintain a strong record of the project(s);
- With the support of the relevant technical coordinators, develop, document and work as per designs, BoQs, tools, implementation modalities and guidelines
- Ensure contractual activities are completed on time, within budget and with acceptable quality.
- Ensure that the project(s) is being implemented as per donor regulations;
- Take overall responsibility for the quality of the project(s) including regular monitoring, field visits and learning;
- Initiate and oversee needs and technical assessments and analysis, as well as preparing the follow up reports in coordination with the M&E Co and Deputy ;
- Oversee the development of Monitoring, Evaluation, Accountability and Learning tools and plans in collaboration with the M&E coordinator;
- Stay abreast of, and manage field operations as to, the prevailing security, cultural and social situation as per the guidance of the field coordinator;
- Identify and monitor risks, constraints or escalating issues and inform senior management accordingly;
- Identify and assign additional activities as required in coordination with the technical departments.
- Regular field visits to monitor the activities and their quality in compliance with proposals and in liaison with M&E department.
Objective 2
- Manage and Develop the Project(s) Team
Tasks and Responsibilities:
- Ensure that all project(s) staff are provided with a full induction and are briefed on all relevant components of the project(s);
- Keep staff aware of any changes in the project(s) and in the wider organization;
- Ensure staff are aware of and operating by humanitarian principles and other codes of conduct;
- Identify need based trainings and work with HR team to develop, plan and implement relevant training plans for each team member.
- Facilitate cross program learning through joint review and planning with other departments
- Define objectives, update staff job descriptions and facilitate regular performance appraisals with support of the HR team.
- Ensure the provision of up dated records and reviews for team personnel reviews and records;
- Ensure availability of staff for necessary recruitment steps (shortlist, technical interview, placement interviews etc. ) staff as required by the HR recruitment Manage recruitment of new staff as required;
- In close collaboration with HR department manage disciplinary matters as per AAH Nigeria HR protocols;
- Manage conflict resolution and motivation exercises with the project(s) team in a proactive manner;
- Encourage compliance with the Charter and the fight against fraud, corruption and abuse of power; alert the Field Coordinator and / or Country Director in the event of fraud, corruption or abuse of power.
- Track and manage team attendance;
- Motivate, coordinate and supervise teams, providing continuous organizational support to staff and conducting regular field visits
Objective 3
- Maintain Comprehensive Records and Report in a Timely Manner
Tasks and Responsibilities:
- Develop a data collection and entry plan complete with tools and timeline that is integrated into the PSDs and PIPs (if not already included) in line with the Mission M&E structure and strategy.;
- Globally manage and monitor data collection and entry as per plan; in collaboration with the M&E team.
- Maintain, document and handover all project(s) records in an organized and complete manner to enable audit of the project(s);
- Produce weekly, monthly and quarterly internal and external reports as requested;
- Track the progress of activities and outcomes as well as ensuring the tracking of relevant indicators;
- Completion of quality MEAL reports; Participate in the weekly coordination meetings, or other ad hoc internal meetings as requested;
- Prepare handover/end of mission reports to cover periods of leave and/or upon exit from the project(s).
Objective 4
- Assist In Wider Organizational Development Through Learning And Proposal Development Support
Tasks and Responsibilities:
- Identify, examine and report in a proactive manner any areas of geographic or sectoral growth for the organization;
- Contribute to overall project(s) design, activity implementation guidelines, training development, and documentation;
- Develop systematic mechanism for lesson learned about the programs to provide information to conduct advocacy activities, with periodic field visits to other project(s)s to strengthen across mission information and best practice sharing; and encourage the development of innovative approach
- Produce regular success stories on project implementation;
- Highlight areas of improvement within the PIPs and PSDs;

Objective 5
- Manage External Relations Related To The Project(s)
Tasks and Responsibilities:
- Represent AAH in external meetings as requested;
- Prepare and share minutes and clear action points of meetings/trainings attended;
- Coordinate with relevant UN agencies, government authorities and any other stakeholders to ensure support for the project(s) and the wider organization;
- Support Field Coordinator in liaising regularly with authorities and community representatives in relations to AAH programming and positioning;
- Represent AAH programs when and if necessary vis-a-vis donors during their field visits and other meetings;
- Promote and defend humanitarian and AAH principles;
- Develop an information (formal/informal) network.

Job Title: Grants and Reporting Manager

Tasks and Responsibilities
Objective 1 – Support Grants management & Compliance of ongoing program implementation:
- Ensure that reports (internal and external) are submitted on time and are coherent and accurately written (Biweekly, APRs, quarterly, interim and/or final report)
- Support the field coordinator for the collection and dissemination of various contributions from the Project Managers, review and validation by Abuja technical team, dissemination and filing of the validated report
- Maintain hard and soft files of AAH Nigeria grant portfolio documents (from inception to closure)
- Play a key role in Grant Opening and Closing meetings preparation and implementation, as well as monthly/regular grants management meetings which include representation from each unit (Admin, programs, logistics, security and M&E), compile action points and ensure proper follow up of issues raised
- Monitor and support the use of grants management tools such as the detailed implementation tool, M&E plan, PFU and Budget Follow Up amongst program teams to ensure accurate tracking of implementation and timely alerts to potential challenges/obstacles
- Support Field Coordinator in Project development; including making inputs in the area of risk management, quality of implementation, analysis of challenges faced during implementation and working with various program teams and key-stakeholders to resolve problems in a timely, cost efficient and effective manner
- In coordination with the grant coordinator, monitor implementation of programs to ensure they are in accordance with donor and AAH internal requirements. Must develop extensive understanding of donor rules for project under implementation and guide project manager in the reading of the relevant donor rules.
Objective 2 – Information management/data collection and implementation of quality controls:
- To distribute and share with all AAH staff copies of all documentation (grant proposals, Donor rules, AAH relevant guidelines, reports, budget etc) related to their specific programs
- Ensure comprehensive grant files are maintained up to date and are available for use (same docs than above)
- To act as an information resource on Borno. In connection with the Field Coordinator, be able to provide informative and varied articles from several sources regarding the current political, socio-economic, security situation in the country. Build a dedicated file to centralize all relevant information on Borno context evolution and development (including Gov and LGA policies, strategies and development plans, resources produced by academics in or on Yobe State…)
- Provide briefing papers and support development of external communication tools as relevant for donor and relevant stakeholders’ visits/meetings on AAH Nigeria programs in Borno
- Attend inter sector/coordination as when Field Coordinator is not available to collect and share information on program work and security information in Borno State.
Objective 3 – Support the field coordinator in the ongoing context analysis and scenario planning, risk analysis and advocacy initiatives:
- Participate in all internal program strategy meetings with senior management team
- Support project proposals development for the AAH Nigeria Borno Program under the supervision of the Field Coordinator
- Develop stakeholders mapping for each project and notes on advocacy primary and secondary targets (organogram of various institutions and influential members) and develop and follow up implementation of engagement strategies (reports to external stakeholders, advocacy initiatives…)
- Support the Field Coordinator to produce bi-annual context review document, scenario planning and Contingency plan review/building
- Support the Field Coordinator in the regular review of the risk analysis and update of relevant security management document in collaboration with the SSCo and SSMan.
Objective 4 – Support AAH external representation and lead partnership development opportunities:
- Support the Field Coordinator in the external representation of AAH and the coordination with government authorities at local, national and state levels (NEMA and SEMA), NGOs and UN agencies; give regular updates to the main stakeholders as necessary
- Ensure that relevant stakeholders have a clear understanding of Action Against Hunger charter, background, program objectives and activities in the field.
- Defend humanitarian principles.
- Develop and manage relationship with local NGOs, CBOs, CSOs and academia to support the development of new programming. Act as focal person for those partnership development and management (from selection process to supervision).

Position Requirements
Qualifications
- Bachelor of Arts or Science in International Development, Economics, Humanitarian Assistance, Rural Development, Geography, Agriculture, Livestock or related studies.
- Minimum 4 years humanitarian work experience in similar setting and responsibility.
Skills & Experience
Essential:
- Good communication, writing and analytical skills;
- Good team management and representation competencies;
- Knowledge of programming in humanitarian settings;
- Experience in assessment, monitoring or evaluation;
- Familiarity with Action Against Hunger principles.
Preferred:
- Experience with major institutional and UN donors and donor procedures (ECHO/EC, OFDA/USAID, DFID, SIDA, WFP, etc.);
