Job Title: Secretary/Tenders and Documentation Officer
Location: Lagos
Description
The Secretary/Tenders and Documents Officer shall effectively carry out the following duties:
- Preparation of tenders for new projects
- Collate and ensure proper documentation within the tendering and contract process.
- Act as a liaison between the company and suppliers to ensure that all queries are dealt with in a timely manner.
- Coordinate the preparation and submission of Request for Proposals (RFPs) and other tender documents that are responsive to client requirements and in compliance with the company objectives are completed in a timely manner.
- Prepare regular status reports on ongoing tendering and evaluation activities undertaken by the company.
- Conduct an in-depth analysis of all bids received in response to each Tender, Proposal and Quotation to identify the response that best meet the needs of the user department and is consistent with the terms and conditions of standard procurement policy.
- Collaborate with key internal stakeholders in identifying procurement needs relative to projects being undertaken by the company and develop draft procurement schedules.
- Prepare evaluation reports and other corresponding documents in accordance with standard templates for approval and signoff.
- Attend pre-tender meetings and generate reports
- Source for new projects and explore opportunities
- Actively contribute to the development and implementation of all rules and procedures governing tendering and contract processes ensuring compliance with internal and governmental controls and regulations.
- Ensure all relevant documentation for bid proposals is complete and accurate
- Supervise the tender process from the pre-qualification stage through to the final bid submission, award of contract and engagement close out.
- Coordinate and communicates proposal document delivery and costing requirements to the key support functions to meet proposal due dates while raising, tracking and documenting issues.
- Ensure all relevant documentation for bid proposals is complete and accurate.
- Ensure all technical, commercial and contractual correspondence with Suppliers/Vendors are efficiently addressed and closed out.
- Prepare reports for the management such as summary schedules, proposal overviews, competitive overviews and cost/price summaries, evaluation reports, annual plans.
Job Requirements
Qualification & Skills:
- A good Bachelor’s Degree in any field.
- At least a minimum of 5 years of cognate experience as a Secretary/Tender and Document Controller.
- Good command of MS. Office packages.
- Planning and organizing skills, knowledge of business plans, tenders requirement and market
Personal Attributes:
- Good presentation, management and leadership skills
- Result oriented and very focused
- Ability to work under pressure
- Good command of both written and oral English
