Job Title: Admin Assistant

Description
- To be in charge of the day to day operational and administrative management of the office, in accordance with applicable internal policies.
Primary Responsibilities
- Answer and direct phone calls of customers and staff appropriately.
- Organize/ schedule meetings and appointments for staff and clients.
- Maintain records/database of clients and staff.
- Produce and distribute letters, forms, memos to clients and staff as required.
- Book training venues and work-related logistics.
- Manage Housekeeper placements and effectively monitor and resolve housekeeping issues between staff and clients.
- Prepare estimates for jobs after inspection and facilitate disbursement of funds for logistics per job.
- Reply to emails, inquiry calls, face to face inquiries when necessary.
- Resolve minor administrative issues.
- Keep financial records.
- Handle sensitive information in a confidential manner.
- Oversee and supervise the work of junior staff.
- Develop and maintain a proper filing system for staff and clients.
- Take note of, and order for office work supplies and keep/submit a monthly expense report.
- Prepare and monitor invoices.
- Prepare monthly payroll
- General administrative duties and any other task as directed by the Executive Director.
Qualification and Requirements
- HND in any of the Social Sciences
- Minimum of two (2) years of relevant experience supporting an office environment
- Basic accounting skills
- Excellent verbal, written, interpersonal and presentation skills
- Intermediate computer skills with the use of Microsoft suite including Excel, Word, and PowerPoint and manage social media applications.
- Applicants must be resident in Port Harcourt

Job Title: Operations Supervisor

- We are seeking to hire an Operations supervisor who would be responsible for inspection, supervision and execution of one-off cleaning operation services.
- The Operations supervisor is responsible for quality control and ensuring that 100% customer satisfaction is achieved.
Job Description
- Carry out inspection and report findings to admin for necessary action
- Inspection of cleaning equipment on a regular basis so as to know when they are worn-out and also request for replacement
- Ensure that cleaners under his/her supervision carry out their functions effectively and promptly whilst on site.
- Providing any form of required assistance to cleaners while they carry out their duties.
- Maintain and submit reports with regards to cleaning personnel, equipment, supplies and general expenses are to be carried out on field.
- Create a detailed work schedule for each one-off cleaning operation assigned
- Manage relationship with all stakeholders
- Ensure that relevant documents and feedback/job satisfaction form(s) are administered and signed off as appropriate.
- Ensure timely and satisfactory resolution of all customer complaints/issues
- Source for prospective clients for the organization.
- Plan and work out marketing strategies to drive sales using promotion materials available; ID cards, fliers, social media platforms, etc.
- Ensure attention to detail and safety of all staff on site
- Controlling and monitoring the usage of cleaning materials so as to avoid or minimize waste and/or misuse.
- Have full working knowledge of all cleaning equipment, materials and chemicals and the use of cleaning equipment and supervise the use of such equipment and chemicals
- Take inventory of each item taken to site and back.
- Ensure that each job has enough personnel to see it through, have enough supply of the required equipment/products with which to complete the assigned tasks.
- Carry out any other supervisory role on or off site as requested by the Executive Director that contributes to the overall growth of the company.
Qualification and Requirements
- OND in any Engineering related discipline
- Minimum of two (2) years of experience in a similar company
- Ability to take accurate measurements
- Proven experience in leading a cleaning team.
- Understanding of various cleaning approaches and methods.
- Industry acumen and knowledge of external cleaning developments and innovations.
- Basic to Intermediate level of proficiency in the use of Microsoft Office Package
- Applicants must be resident in Port Harcourt
