About Role 

  • This role is required to ensure that all administration and facility management systems efficiently drive the company to meet its stated goals.
  • This role ensures that the enabling environment is created for employees of Crowd Force to thrive. You will also support Crowd Force’s Finance and Accounting functions.

Principal Duties / Tasks and Responsibilities
Office Administration, Documentation, Logistics and Facility Management:

  • Ensure travel arrangements, accommodation, airport pick up and other essential duties are done and as when required.
  • Drive all aspects of Crowd Force’s facility management systems inclusive of backup and real time power provision.
  • Ensure efficient and effective office & staff equipment maintenance systems, signage and landscape management.
  • Coordinate the disposal of all Crowd Force’s assets.
  • Plan and oversee renovation and remodeling activities in Crowd Force offices.
  • Coordinate cleaning, catering and parking services.
  • Organizing security and general administrative services.
  • Ensuring that facility meets good health and security standards
  • Oversees the coordination of building space allocation and layout, communication services, and facility expansion.
  • Plan budgets and schedule facility modifications, including cost estimates.
  • Manage preventive maintenance of facility equipment and office equipment like air conditioners, printers and vehicles.
  • Filing Administrative and Companywide documents.

Procurement:

  • Saving costs by procuring goods and services at the best price and quality.
  • Responsible for the timely procurement and storage of office supplies and stationary.
  • Cut waste and unnecessary costs in company purchases.
  • Serve as custodian and administrator of petty cash.
  • Determine if inventory quantities are sufficient for the office needs and order more when necessary.
  • Receive purchase requests from various departments within the company and get price quotes from suppliers/vendors.
  • Vendor management: which shall include vendor sourcing, vendor processing, vendor profiling, vendor engagement and vendor retainment.
  • Manage an inventory of items in your custody.

Account Functions:

  • Oversees payment of vendors and other transactions as required.
  •  Monitors and manages cash advance retirements by Crowd Force staff.
  • Manage Petty Cash administration.

Education / Certifications / Experience

  • Minimum of a Bachelor’s Degree in Arts / Humanities, Secretarial Studies or Social Sciences
  • Previous experience in an admin related role
  • Minimum of 2 years of working experience in a similar position
  • Good problem solving skills
  • Strong use of Microsoft Office Suite (Microsoft, Word, Excel and PowerPoint)
  • General Administration and Facility Management Experience
  • Data and Information Management.
  • Admin Budgeting and Cost Management.
  • Strong use of Microsoft Office Suite (Microsoft, Word, Excel and PowerPoint).
