Job Title: Fleet and Workshop Control Manager
Location: Lagos
Reports to: Managing Director
Job Summary
- To manage and lead a team of people efficiently in allocating workload and managing the day to day operations in the workshop. Act as an interface between the chauffeurs, management and workshops as well as minimize downtime of vehicles.
- Ensure readiness of vehicles at all times by enhancing the general efficiency of the fleet of vehicles owned, managed and/or operated by the company.
- Responsible for ensuring cost control and general effectiveness in the management of resources (Human & Material) by liaising with key internal and external contacts to ensure work is delivered at the least cost possible on time and to good quality standards.
Specific Duties & Responsibilities
Administration & Support:
- Responsible for the safe and efficient use of all Company assets.
- Responsible for optimal use of all fleet manpower, job allocation and job flow in the workshop including job allocation and job flow in the workshop including job scheduling and labour allocation for day to day operations.
- Generate and maintain by regularly updating a comprehensive database of all company vehicles and ensure that every vital information on each vehicle is recorded and presented at predetermined intervals: daily, weekly monthly and quarterly.
- Coordinate resources, (operational and human) schedules and activities to effectively manage jobs.
- Ensure supplies are ordered on time for each job is as approved and ordered.
- Assist in quoting, project management, materials purchasing and quality checks/controls.
- Keep an accurate record of fuel allocated and consumed by all company vehicles and develop strategies for efficiency
- Keep track of all company vehicles by monitoring the online tracking solution, reviewing and reconciling with manual logbook entries to eliminate abuse and misuse.
- Ensure correct job numbers are used and that time records are correct
- Provide oversight and responsible for ensuring that job estimates are accurate.
- Manage inward goods, checking qualities, dispatching goods and receipting invoices.
- Regular report on each job and quickly communicate delays or concerns with your Supervisor.
- Report on Manpower overruns or shortfalls.
- Act as a technical adviser on key projects and other areas of the business as requested.
- Ensure effective supervision of subordinates to ensure that duties assigned to them are carried out and review work to ensure accuracy, completeness and compliance with Company standards, requirements and procedures.
- Carry out a constant appraisal of drivers & subordinates’ performance and also take disciplinary measures when required. Work with HR to implement a reward program to reward good performance using a transparent and objective matrix
- Work with HR to identify staff that require training and implement training opportunities to ensure their skills are improved. Work with apprentices and semi-skilled staff to role model appropriate technical skills.
- Provide feedback to staff that are not performing to the expected level and ensure HR is informed of trends in their performance.
- Ensure cost reduction in handling all issues related to fleet and mechanic operations
- Work with the Managing Director to respond to clients’ requests for updates on the status of their jobs and keep the communication channels open to ensure information is accurate.
- Identify client’s needs and explain/demonstrate the ability to explain the technical description of products and the way they may be used to your clients.
- Receive and review client feedback from customers and follow up to ensure customer satisfaction.
- Ensure the fleet supervisors carry out regular (daily) inspections of company vehicles and ensure that they are cleaned thoroughly by assigned chauffeurs. All necessary accessories are to be made available to all vehicles at all times.
- Ensure that vehicle keys are secured and retrieved from chauffeurs by the fleet supervisors and handed over to the appropriate authority at the close of business.
- Develop and implement systems to record, file and store information pertaining to client enquiries
- Direct and keep track of all repairs and services carried out on all vehicles. Liaise with approved workshops and garages to effect all necessary repairs.
- Keep and submit monthly statistical reports on maintenance to Management. Maintain files and relevant records related to maintenance, repairs depreciation, mileage etc.
- Recommend to management vehicles that are no longer economically operational by writing a report.
- Responsible for the overall efficiency, viability, profitability as well as quality of the workshop by updating and maintaining the processes and procedures.
- Strictly enforce the use of company resources exclusively for managing its assets and for revenue generation.
- Promote a Health & Safety Culture within the business.
- Any other assignments given by Management.

Skills & Experience
- Engineering Trade Qualification
- At least 5 years experience as a fleet manager in a logistics firm
- Good interpersonal/communicating skills and writing skills.
- Ability to work with people at various levels from shop floor to senior management
- Can look beyond the initial customer enquiry and identify other business opportunities.
- Project Management Experience and People Management Skills
- Must be computer literate in Microsoft Office including Outlook, Word & Excel.
- Good knowledge of vehicle diagnostics
- Quality & Productivity focused.
Salary
N200,000 – N250,000 Monthly.
