Job Description
- A leading tertiary healthcare institution located along Lagos-Ibadan Expressway is seeking highly qualified individuals to fill the position of Executive Assistant which will perform a variety of administrative tasks and support the healthcare system.
- The Executive Assistant should be resourceful, innovative, and proactive and be able to contribute to the efficiency of the business by providing timely support to clients, members, and staff of the company.
Responsibilities
- Providing administrative assistance such as writing and editing emails, drafting memos, and preparing communications.
- Provides comprehensive support to the Senior Management and other staff of the company by ensuring a professional, responsive, and effective experience within the organization.
- Address complaints, resolve issues, and ensure information flow in a timely and accurate manner.
- Manage executive’s calendars, set up meetings, and make travel and accommodation arrangements.
- Handles and directs phone calls with sophistication and professionalism and distributes correspondence.
- Rack daily expenses, and prepare weekly, monthly, and quarterly reports.
- Manages relationships with external stakeholders, including clients, partners, and vendors of the company.
- Organizes and maintains the office filling system and keeps up with office supply inventory.
- Carries out supervisory responsibilities in accordance with the hospital’s policies.
- Format information for internal and external communication – memos, emails, presentations, reports, etc
- Handles confidential and sensitive information with discretion and professionalism.
Requirements
- Bachelor’s Degree in Business Administration or a related field.
- Work experience as an Executive Assistant, or any similar role.
- Experience in the healthcare sector(preferred)
- Excellent MS Office knowledge and other relevant computer applications.
- Strong problem-solving, listening, and learning skills, and proactive/analytical thinking.
- Outstanding organizational and time management skills.
- Excellent verbal and written communication skills.
- Tactful and diplomatic with great interpersonal skills.
- Ability to work independently and prioritize tasks efficiently.
- Familiarity with office gadgets and applications (e.g. e-calendars and copy machines).
