Administrative Officer at the Nigeria Centre for Disease Control (NCDC)

The Nigeria Centre for Disease Control (NCDC) is the government agency with the mandate to coordinate the surveillance, detection and response to infectious disease outbreaks. Over the last three years, NCDC has deployed a new tool for disease surveillance. The Surveillance, Outbreak Response Management and Analysis System (SORMAS) is a system jointly developed between the Nigeria Centre for Disease Control and the Helmholtz Centre for Infection Research (HZI) to improve disease surveillance as well as detection and management of outbreaks and thus strengthen the public health service in Nigeria.

We are recruiting to fill the position below:

Job Title: Administrative Officer – CMUL

Location: CICaPS office, College of Medicine, University of Lagos – Lagos
Department: Infection Prevention & Control
Accountable to: Project Coordinator, CICAPS
FTE: 1 FTE

Job Summary

  • NCDC is recruiting an Admin Officers to join the Global Fund- COVID-19 Response Mechanism (C19RM) funded IPC project. The successful candidates will support the National Infection Prevention and Control (IPC) Program domiciled within the Centre for Infection Control And Patient Safety (CICaPS), office at the College of Medicine, University of Lagos, in coordinating national IPC activities at the Center.
  • The Administrative Officer will support the CICAPS team to ensure the smooth and efficient operation of Diploma in IPC (DIPC) training courses.
  • The successful candidate will be responsible for various administrative tasks to support project activities and contribute to their overall success.

Main Activities and Responsibilities
Knowledge Generation:

  • Create, organize, and maintain project documentation.
  • Support office operations, such as managing supplies and coordinating meetings.
  • Manage project correspondence, including emails and phone calls, providing a professional and helpful response to stakeholders.
  • Assist in managing the project’s budget, including tracking expenses, processing invoices, and ensuring accurate financial records.
  • Plan and coordinate events, workshops, and meetings, including logistics, materials, and participant communication.
  • Provide administrative support to project staff, including scheduling and travel arrangements.
  • Generate regular and ad-hoc reports to assist the Project Coordinator of CICAPS
  • Perform other duties as may time to time be assigned to him/her

Essential Criteria

  • Bachelor’s Degree in Accounting, Business Administration, Public Administration, and other Social Sciences with at least 3 to 5 years of administrative experience
  • Proven experience in administrative roles.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and the ability to maintain accurate records.
  • Ability to work independently and collaboratively as part of a team.
  • Positive and professional attitude, including working well in a team setting.
  • Excellent communication (verbal and written) skills.
  • Ability to work both independently and collaboratively with a team of diverse stakeholders.

Desirable Criteria:

  • Good command of Microsoft Office, especially Outlook, Word, PowerPoint, and Excel.
