Executive Assistant at Global Rights

Global Rights is an international human rights and governance capacity-building non-governmental organization. Founded in Washington, D.C, in 1978 with the name International Human Rights Law Group, the organization changed its name to Global Rights: Partners for Justice in 2003 on the occasion of its 25th anniversary. In December 2014 it shut its Washington headquarters and devolved the center of its operations to its country office in Nigeria, from where the organization continues to work with local activists in Africa to promote and protect the rights of marginalized populations.

We are recruiting to fill the position below:

Job Title: Executive Assistant
Location: Abuja
Employment Type: Full-time

Key Responsibilities
Executive Director’s Office:

  • Providing administrative assistance, such as drafting memos and e-mails, writing and editing, and preparing reports on the Executive Director’s behalf
  • Manage information flow in a timely and accurate manner as well as ensure that the Executive Director is up to date with the status of all projects.
  • Support Program team with work plan/AOP timeline implementation monitoring, and quarterly and annual reporting
  • Ensure efficient digital and physical documentation systems to promote institutional memory
  • Performs all other duties and tasks as may be directed by the Executive Director.
  • Maintaining comprehensive and accurate records
  • Performing minor accounting duties
  • Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary

Communications and Program:

  • Assists in the preparation of project reports and tracks project budget compliance
  • Formats information for internal and external communication – memos, emails, presentations, reports
  • Screens and direct phone calls and distribute correspondence
  • Manages Organizational Calendar for events, tasks, travels and report deadlines
  • Prepare responses to correspondence containing routine inquiries
  • Prepare meeting notes, reports, memos, letters, and other documents, using word processing, spreadsheet, database, or presentation software

Change Management / Managing Meetings:

  • Support the Global Rights Change management model and process.
  • Work closely with the management team to facilitate Global Rights in-house meetings
  • Work with the program team to develop project updates and program briefs.

Outcomes / Targets for the next 6 months:

  • Strengthen the coordination and operational mechanism developed for the Executive Director’s office
  • Document learnings and disseminate program update briefs
  • Support GR fundraising efforts and global rebranding towards the 45th anniversary
  • Support smooth programmatic processes and implementation of activities
  • Maintain and provide weekly program workplan update
  • Support the timely completion and editing of GR reports as well as presentations

Requirements

  • A minimum of Bachelor’s Degree
  • Minimum of Two (2) years knowledge and/or experience working with human rights organizations
  • Demonstrable ability to work to tight deadlines
  • Ability to provide practical solutions within set deadlines.
  • Excellent planning and prioritization skills
  • Commitment to continuous learning
  • Understanding of natural resources governance, gender and development issues in Nigeria
  • Strong communication and report writing skills
  • Proven project management skills in complex, multi-faceted projects
